- Assists the President of scheduled presentation; arranges logistics, needed equipments, and venue set-up
- Organizes the files and documents of the President and other documents received by the company; ensures updated and orderly files, tracking of files, and availability of files upon request
- Handles high confidential files and information and is expected to maintain strict confidentiality of these files/info
- Prepares business correspondence, proposals and minutes of meetings
- Processes important documents such as visa that are needed for travel abroad
- Arranges necessary reservations for travel local and abroad (Ticket and Hotel reservations)
- Reviews, screens and endorses mails with the right person/groups and endorses incoming work and correspondences to proper persons.
- Handles reimbursement and liquidation for the President
- Logs out all the documents coming out from the President and routes them to the proper department or person
- Routes memos to all the department and concerned persons
- Prepares request for cash advances
- In charge of all company importations and purchasing
- Safe keeping of all contracts with clients and partners
- Receives and screens all incoming phone calls and visitors for the Office of the President
- Performs general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing
